Students can be imported into ASBWorks from another database or previous accounting program. The import file must be a comma separated file (.csv). IF the file is an excel file, you can save the file as a .csv from the 'Save As' menu.
You will be able to do a manual student import by following these steps:
1. Go to the Tools Menu at the top right-hand side.
2. Click on "Import tools"
3. Click on "Import Students"
4. Your file MUST be saved in .csv (comma delimited format)
5. The column headings MUST be exact and have NO extra spaces. In coding every character is important, even a space. So, you want to make sure there are no extra spaces at the end of the title so that the system doesn't recognize that as a character.
6. Click "Choose File" and select your saved excel student import file
7. Click "Begin Import"
8. If there are any errors in the file, it will alert you at this time. It will let you know where to look in the excel file to fix those errors.
9 If there are no errors, the file will import successfully.
10. Included here is some information for you regarding the import file specifications and the sample excel import file is attached here with the correct headings as well.
11. The Email Column is an optional field and can be left blank if you do not want to include the emails in the import.
Import File Specifications:
Here are the default headers for the student import file and a description of each. All these columns are expected, in this order, with these headings (Capitalization too!) :

Column Descriptions:
•Student # (Data Required) - This is an alternate ID # for a student so you can potentially cross reference the students with another system if needed.
•ID# (Data Required) - This is the student ID# from the originating system. In our software, this number will be used as the student Bar code.
•First Name (Data Required) - First name of student
•Middle Name - Data can be left blank if not needed.
•Last Name (Data Required) - Last name of the student
Mailing Address (Columns in blue make up the mailing address. If you wish to import the address, all these columns must be completed.)
•Mailing Address - Street Address
•City - Mailing City
•State - Two Character State Abbreviation (ex. CA, MI)
•Zip code - All Zip Code formats are accepted. 5 digit, 9 digit, or 5-4 digit. (ex. 11111, 22222-2222, 333333333)
•Home Phone - Most phone formats are accepted. (ex. (123)456-7890, 123-456-790, 123456789)
Any extra digits after the base phone number is validated, are treated as the phone extension. (ex. +666, x444, 666).
(Data can be left blank if the student doesn't have a phone, OR if you do not want the number in the system.)
•Grade - The student grade # (ex. 1, 12). Data can be left blank if not needed.
