1. Navigate to Admin at the top right and click on "Our School" Or "Our District."
2. Under the "Payment Processors" tab on the left-hand side you will see the green button that says "Go To KPS Merchant Dashboard." This will take you directly to their website and you can log in there to see the credit card transaction data.
3. Click on Statements at the bottom left-hand side.
4. The dates are formatted "YEAR-MONTH" – As an example we are looking at 2025-05 for May 2025. The download button is on the right-hand side. This will give you the Merchant Statements showing the activity.
5. At the top right of the Merchant Statment you will see the transaction fees that were charged. The transactions fees are charged based on the number of transactions and volume of sales. They charge $0.35 per transaction as well as 3% of the volume.
6. Let’s take a look at a sample Merchant Statement to understand the fee structure below.
The RED arrows point to the "Number of Sales" which was 451 total
The BLUE arrows point to the “Amount of Sales” which is our volume $90,464.00
"Number of Sales" = 451 - we would calculate 451 X $0.35 (per transaction) = $157.85
"Amount of Sales" = $90,464.00 - we can calculate $90,464.00 X 0.03 = $2,713.92
We add those two values = $2,871.77- this is indicated in the GREEN box at the bottom of this screenshot.
This site ALSO accepts AMEX and they charge an additional “Authorization Fee” on top of that. If you scroll ALL the way to the bottom of the statement after the “Deposits” Section, you will see that summary there. This is how the total “Amount Deducted” at the top right-hand side of the Statement was calculated.
On the Merchant Statement under the “Deposits” section we can see all of the deposits that went into the bank account.
You can run the “Funding Report” in the KPS Merchant Dashboard for the month you are looking at. (Instructions to pull these reports are separate) In this data sample we are looking at May 2025. Once you export the report into excel you will have the ability to add a data filter. Make sure you have row 1 selected in your Funding Report in excel. Then Click on “Data” on the top menu and then “Filter.” This will add the drop down arrows that you can use to filter.
We recommend that you filter Column G to sort it from oldest to newest.
This way you can compare the Reference Numbers on the “Funding Report” compared to the Merchant Statement if needed. IMPORTANT NOTE – AMEX has a separate deposit on the “Funding Report” that you will be able to match and reconcile with your bank statement.
